Official Records, Council Support, and Public Trust

The City Clerk’s Office serves as the essential bridge between the Mayor’s Office and the City Council, ensuring that official actions are carried out in accordance with State law and City code. The office manages the weekly City Council agenda, certifies legislative actions, attests to official documents, and safeguards the City’s permanent records.

Core Responsibilities of the City Clerk’s Office

Council Agenda & Minutes
Preparation of the weekly Council agenda and maintenance of a permanent journal of City Council meetings, ordinances, resolutions, and official actions.
Certification of Council Actions
Certification of actions of the Council for approval or veto by the Mayor and support for the official legislative process.
Official Files & Archives
Maintenance of permanent files for City contracts, agreements, deeds, board appointments, insurance policies, bonds, and other vital documents.
Transcripts & Legal Notices
Preparation of official transcripts for courts and City officials, along with required legal advertisements and public notices of City business.
Public Improvement Notices
Official notice to property owners regarding public improvements and public assessments, as required by law.
Claims & Records Access
Receives and records official claims and legal actions against the City and helps the public and public agencies access official records originating from City Council meetings.

How to Request a Public Record

To request a public record, please visit the City Clerk’s Office in person to complete a Public Records Request Form. Staff will assist you in identifying the documents you need and provide information about any applicable fees for research or copies.
